iRIS - Guest Account Management using Cirrus

University of Louisville staff members with the appropriate access can invite non-University individuals to create a guest account for iRIS through Cirrus, iRIS’s guest identity management system. With Cirrus, invitations and guest accounts can be managed, renewed, and closed.

Creating and managing guest accounts in Cirrus is being deprecated and will be disabled in early 2023. ITS strongly recommends using only sponsored accounts for non-UofL users to access iRIS.

If a user already has a guest account and wants to transition to using a sponsored account to log in to iRIS, the guest account (made via Cirrus) and the sponsored account can be merged. Logging in to the Cirrus Admin Portal

You must log in to the Cirrus administrative portal to manage guest invites and guest accounts. Follow the steps below to log in to the Cirrus admin portal.

If you attempt to log in and do not have access to the admin portal, contact ITS.

 

  1. Click the button above, or go to: https://apps.cirrusidentity.com/console

  2. Under “Choose your provider…”, select “University of Louisville (New)”.

 

3. On the next screen, enter your University email address. Then, click “Next”.

 

4. Enter your password, and click “Sign in”.

 

If your log-in was successful, you will be taken to the Dashboard.

 

NOWhen working in the Cirrus admin portal, always select “UofL Guest Accounts”. Do not use “UofL Guest Accounts (UAT)”.

Managing Invitations

Through the Cirrus admin portal, you can manage guest invitations. Using the admin portal, you can send invitations, check the status of invitations, resend invitations, and delete invitations.

Send a Guest Invitation

To send a guest an invitation to create a Cirrus account, follow these steps after logging in to the Cirrus admin portal:

  1. At the top of the screen, click “Invitation Service”.

2. Click “UofL Guest Accounts” in the “Choose Application” box on the “Guest Invitation Service” screen.

 

 

 

3. Enter the email address(es) of the guest(s) you want to invite. You can enter multiple email addresses for multiple guests (the maximum number of email addresses is 10). You can also upload a file with email addresses.

 

You can also add a custom message to your invitation.

 

To send the invitation, after entering your guest’s email address, check the box next to “I agree to the UofL Guests Accounts Terms of Service” at the bottom of the invitation. Then, click “Send Invite”.

After you click “Send Invite”, your invitation will be emailed to your guest.

Check the Status of an Invitation

Follow these steps to check the status of an invitation you sent.

  1. On the “Guest Invitation Service” screen, click “My Guests” on the left side of the screen.

2. On the next screen, you can view the invitations you have sent.

Invitations can have the following statuses:

  • invited – an invitation to create a guest account has been sent. The guest has not yet begun the account creation process.

  • bootstrap – The guest has viewed the invitation, clicked the link, and begun creating the account. The guest has not yet completed the account creation process.

  • valid (may also display as claimed)The guest has accepted the invitation and created the account. The guest now has access.

  • expired – The guest’s access has expired. To regain access, you must extend their access via the Cirrus admin console.

 

Resend an Invitation

If a guest has been invited and has not yet created their guest account, the invitation to create a guest account can be resent.

  1. In the “Guest Invitation Service” section of the admin console, click “My Guests” on the left side of the screen.

2. Find the guest whose invitation needs to be resent. Next to the “Expires” column, click “Resend”.

 

Delete an Invitation

If you send an invitation for a guest to create an account but then decide to not allow the guest to have an account, you can delete the invitation, which renders their invitation link invalid.

To delete an invitation, follow these steps:

  1. In the “Guest Invitation Service” section of the admin console, click “My Guests” on the left side of the screen.

2. Find the guest whose invitation needs to be deleted. Next to the “Expires” column, click “Delete”.

 

Managing Guest Accounts

You can manage your guest’s accounts after they have accepted their invitations and created their accounts. Account management includes extending account access, revoking access, and updating guest information.

Extend Account Access

You can extend a guest’s account access in the admin console. When a guest’s access is about to expire, you must renew their access. If you do not renew their access, their access will be revoked; and they will no longer be able to access iRIS.

  1. In the “Guest Invitation Service” section of the admin console, click “My Guests” on the left side of the screen.

2. Find the guest whose account access needs to be extended. Next to the “Expires” column, click “Extend”.

 

3. Enter the date you want to extend guest access. You can either type in the date (using the format MM/DD/YYYY) or use the calendar that appears once you click the text box. After entering the extension date, click “Confirm”.

 

 

 

After clicking “Confirm”, the new expiration date will display in the “Guest Invitation Service” section of the admin panel under “My Guests”.

Revoke Guest Access

If a guest you manage no longer needs access to iRIS, you can revoke their access via the Cirrus admin console.

  1. In the “Guest Invitation Service” section of the admin console, click “My Guests” on the left side of the screen.

2. Find the guest whose access to iRIS needs to be revoked. Next to the “Expires” column, click “Revoke”.

 

3. A new window will appear. Click “Confirm”.

After clicking confirm, you will be taken back to the “My Guests at University of Louisville” page. The guest’s status will be set to “expired”, and the expiration date will be today’s date.
