Sponsored accounts and service accounts require renewal on a regular basis. Sponsored accounts must be renewed every 6 months, and service accounts must be renewed every year. When a sponsored or service account is no longer needed, it must be deleted.

You can renew and delete sponsored accounts and service accounts in our self-service portal. You can access the portal by clicking the button below.

Follow the instructions below to renew or delete sponsored accounts and service accounts.

You must be the owner/manager of the sponsored account/service account to renew or delete the account.

You must log in using your personal University account to renew service and sponsored accounts. You cannot renew accounts using service and sponsored account log-ins.

Renew a Sponsored Account

  • Click the “Renew or Delete a Sponsored or Service Account” button above, go to: https://identity.louisville.edu.

  • Enter your user ID, and click “NEXT”.

Do not log in using the sponsored account to renew the account. Sponsored accounts can only be renewed by logging in using your personal University account.

  • Enter your password, and click “NEXT”.

  • Once you are logged in, click the “REQUESTS” tab at the top of the screen.

  • Click the “CHANGE ACCESS” tab.

  • In Step 2, select “By User” so that you can search for the sponsored account by user.

  • Search for the sponsored account that needs to be renewed. You can search by the sponsored user’s first name, the sponsored user’s last name, or the user ID of the sponsored account.

The sponsored user’s information – including last name, first name, user ID, personal email (if applicable), and display name – will appear after you select them.

  • Select the account (called “resources” in the identity access management system) that need to be renewed using the checkboxes on the left side of the screen. You will see the expiration date of each resource on the right side of the screen.

You can select every resource by clicking the checkbox next to “Resource Name”.

Other resources may appear in this menu depending on what resources the sponsored user has. Examples include VPN and Blackboard.

  • After selecting the resources that need to be renewed, click the “DONE” button.

  • In Step 3, enter when the access period ends. Sponsored users can be renewed for up to six months, and service accounts can be renewed for up to one year.

Sponsored accounts can be renewed for up to 6 months from the day you are submitting the renewal, not the date that the account expires. For example, if you renew a sponsored account on 06/01/2023 for 6 months, and the account expires on 07/31/2023, the new expiration date for the account is 12/01/2023, not 01/31/2024.

  • On Step 4, enter comments in the comment box. Then, click “SUBMIT REQUEST”. Comments are required.

A confirmation message will appear once your request is successfully submitted.

When the sponsored account is successfully renewed, both you and the sponsored user will receive an email.

Renew a Service Account

Do not log in using the sponsored account to renew the account. Sponsored accounts can only be renewed by logging in using your personal University account.

  • Enter your password, and click “NEXT”.

  • Once you are logged in, click the “REQUESTS” tab at the top of the screen.

  • Click the “CHANGE ACCESS” tab.

  • In Step 2, select “By User” so that you can search for the service account by user ID.

  • Search for the service account that needs to be renewed. You can search by the user ID of the service account.

The service account’s information will appear after you select it.

  • Select the account (called “resources” in the identity access management system) that need to be renewed using the checkboxes on the left side of the screen.

You can select every resource by clicking the checkbox next to “Resource Name”.

  • After selecting the resources that need to be renewed, click the “DONE” button.

  • In Step 3, enter when the access period ends. Sponsored users can be renewed for up to six months, and service accounts can be renewed for up to one year.

Service accounts can be renewed for up to 6 months from the day you are submitting the renewal, not the date that the account expires. For example, if you renew a service account on 06/01/2023 for 12 months, and the account expires on 07/31/2023, the new expiration date for the account is 06/01/2024, not 07/31/2024.

  • On Step 4, enter comments in the comment box. Then, click “SUBMIT REQUEST”. Comments are required.

A confirmation message will appear once your request is successfully submitted.

You will receive an email when the service account is successfully renewed.

Delete a Sponsored or Service Account

To delete a sponsored account or a service account, follow the steps below.

  • Click the “Renew or Delete a Sponsored or Service Account” button above, go to: https://identity.louisville.edu.

  • Enter your user ID, and click “NEXT”.

  • Enter your password, and click “NEXT”.

  • Once you are logged in, click the “REQUESTS” tab at the top of the screen.

  • Click the “CHANGE ACCESS” tab.

  • In Step 2, select “By User” so that you can search for the account by user.

  • Search for the account that needs to be deleted. You can search by the sponsored user’s first name, the sponsored user’s last name, or the user ID of the sponsored account. If you are deleting a service account, you can search by the user ID.

The sponsored user’s information – including last name, first name, user ID, personal email (if applicable), and display name – will appear after you select them. If you are deleting a service account, the user ID will appear after you select the account.

  • Select the account (called “resources” in the identity access management system) that need to be deleted using the checkboxes on the left side of the screen. You will see the expiration date of each resource on the right side of the screen.

You can select every resource by clicking the checkbox next to “Resource Name”.

  • After selecting the resources that need to be deleted, click the “DONE” button.

  • In Step 3, enter tomorrow’s date. Entering tomorrow’s date ensures that the account will be deleted tomorrow.

  • On Step 4, enter comments in the comment box. Then, click “SUBMIT REQUEST”. Comments are required.

A confirmation message will appear once your request is successfully submitted.
