Granting Delegate Access to Your Exchange Account in Outlook

Allowing another user to manage your email Inbox

These are the steps the user you support will need to take to grant you proxy access to his or her email Inbox. This MUST be done from the account that you want to share AND you MUST be logged directly INTO that account (not delegate access)

  1. From the Outlook email screen, click the File tab at the top of the screen
  2. Click the Account Settings drop-down button
  3. Click Delegate Access. The Delegates window will open
  4. Click Add
  5. In the Search window, type the last name of the person to whom you are granting access to your email Inbox. Be sure the email address is in the format: userid@exchange.louisville.edu
  6. Double-click the person's name from the list below the Search window
  7. Click OK
  8. Set the desired permission level you wish to grant for each of the functions listed. (From this window, you may allow access not only to your email Inbox, but also to your Calendar, Tasks, Contacts, Notes and Journal.) Do not grant higher than EDITOR
  9. Click OK. The user will now have access to the functions you specified.

 

Allowing another user to manage your email folders

These are the steps the user you support will need to take to grant delegate access to email folders

These actions must be done for EACH and EVERY email folder; from userid@exchange.louisville.edu, Inbox and EVERY folder that you want them to have access to.


  1. Right-click your email address, listed above your Inbox and email folders. (Tip: Look below the Favorites area.)
  2. Click Folder Permissions.
  3. Click the Permissions tab in the window that opens. Click Add.
  4. In the Search field, type the last name of the person to whom you are granting access to your email folders.
  5. Double-click the person's name from the list below the Search window.
  6. Click OK.
  7. At the top of the Permissions tab, make sure the correct user is highlighted. (This is the person to whom you are granting folder access.)
  8. Click the Permission Level drop-down button.
  9. Click Editor.
  10. Click OK. The user will now have access to your email folders.

The Delegate will now need to do some things on their account:

  • File/Account Settings/Account Settings
  •  double click on the email address
  • click on More Settings
  • click on Advanced
  • ADD the service account to Mailboxes
  • click Apply/OK
  • Next/Finish

They should now see the service account at the bottom of the Navigation Pane (lower left).

To send email from the Delegated account (in Behalf of)

    • Start a new email
    • Click on From:
    • Click on Other Email Address
    • enter in the userid; choose from the list, if necessary
  • REMEMBER to always check the FROM: when sending email!

 

Adding service account to Exchange

 

Close out Outlook
Once you close out Outlook, go to Start > Control Panel > Mail (If you do not see Mail do a search from the upper right corner)
Click on Show Profiles > Add > Service account name > Ok
Type in your Name, Email address useridservice account@exchange.louisville.edu and email password
When the popup comes up click on switch user for the user id type ad\ useridservice account then service account password, then Ok >Finish
Put dot in Prompt for profile to be used > Ok
Now open Outlook your email will be slow the first time, the login will be ad\service accountuser id and your password
